Updates to Major Events Policy

In June 2025, the Division of Finance, Operations, and Administration (FOA) released the campus-specific Major Events Policy, which expanded and replaced the previous student-focused policy to better coordinate large campus gatherings. We are pleased to share the updates to the final version of the policy, including adjusting the criteria for non-affiliates and other minor clarifications.

The centerpiece of the process is the UCSC Spaces website, a one-stop shop for all event planning information covering key areas such as:

  • Venues and specifications, including occupancy limits
  • Major Event Proposal Form
  • Space reservation contacts
  • Relevant policies

The  Major Events Google Calendar provides event organizers with a clearer view of large events, space availability, and restricted dates. The calendar also helps first responders identify areas with large numbers of visitors who may not subscribe to CruzAlerts and may be unfamiliar with campus safety procedures, evacuation routes, and available services.

A new Bulk Submission Process will allow high-production units to submit multiple events at once through the Major Event Proposal Form. The process will be available this summer.
