Important changes in the monthly payroll earning statement distribution

The Payroll Office is pleased to announce that the monthly Statement of Earnings for those employees receiving their payroll through direct deposit will be available online from the secure and confidential UC At Your Service online web site (AYSO). Online Statement of Earnings are available for viewing for payroll payment dates beginning on or after January 1, 2007. Your Statement of Earnings will be available for viewing as early as three calendar days before, and up to 18 months after payday. Statements may be saved in Adobe Acrobat format to a computer storage device. Follow these steps to view, print, and/or save your monthly Statement of Earnings:

VIEWING YOUR STATEMENT

A. Skip to Section B if you have an AYSO account, otherwise perform the following steps to set up an account:

Step 1: Log onto http://atyourservice.ucop.edu and click on the "Sign in to My Accounts" icon.

Step 2: Click on "Forgot Password"

Step 3: Follow instructions provided in the pop-up window to set up your account. You should receive a password via e-mail within a few days from UC Benefits.

B. If you have an AYSO account, perform the following steps to view your statement:

Step 1: Log onto http://atyourservice.ucop.edu and click on the "Sign in to My Accounts" icon.

Step 2: Enter your log-in and password, and click on the "Sign In" box. You will see the AYSO menu of services.

Step 3: Under the "Income & Taxes" section (located at the top of the column on right), select "Earning Statement." A list of pay dates and earning information will appear.

Step 4: Under the "Notes" column, select "View Statement" for the corresponding desired pay date.

Step 5: If this is the first time you have accessed your Statement of Earnings or you have disabled cookies on your web browser, an information dialog box may appear warning you that, in the process of viewing your Statement of Earnings, it may be saved to a hard disk or memory cache which may enable others using the same computer to access your Statement of Earnings data. If you agree to be responsible for protecting your Statement

of Earnings data, select "OK."

Step 6: Your Statement of Earnings for the desired pay date will appear for viewing in Adobe Acrobat Format.

PRINTING YOUR STATEMENT

A. Follow these steps to print out your Statement of Earnings:

Step 1: With the Statement of Earnings appearing on your computer screen, click on the printer icon on the Adobe Acrobat menu bar, which usually appears nearest to the Statement of Earnings, or right-click anywhere in the Statement of Earnings and select "Print" from the menu that appears. The "Print" dialog box will appear.

Step 2: Select the desired printer in the "Printer" drop-down box and select "OK." Your Statement of Earnings will print out.

SAVING YOUR STATEMENT

A. Your Statement of Earnings will be available for viewing from the AYSO web site for 18 months following the pay date. To save a copy of your Statement of Earnings to a computer storage device, follow these steps:

Step 1: With the Statement of Earnings appearing on your computer screen, click on the diskette icon on the menu bar appearing just above the Statement of Earnings." The "Save a Copy." dialog box will appear.

Step 2: Select the desired location to save the file, and enter a filename, if desired.

Step 3: Select "Save" to save the file to the desired location. A file containing your Statement of Earnings will be saved to it.

In an effort to improve data security by reducing the amount of handling of Statement of Earnings and to conserve resources, after the August 2007 pay dates, current and new employees will no longer receive a paper version of the monthly statement. Between the January 2007 and August 2007 payroll payment dates, a paper-version of the Statement of Earnings will continue to be sent to you in the usual way. During this period of time, you can compare the paper-version to the identical online version of your

Statement of Earnings.

The AYSO web site can be accessed from any computer that has an internet connection, including from your home computer. If you do not have access to a computer or are otherwise unable to obtain your earnings statement online you will need to request that paper-versions of your monthly Statement of Earnings be provided by completing the Earnings Statement Online Disposition Exception Form, which is available from the Payroll Office web site or from the Payroll Office. The same form may also be used to revoke a

prior request for paper-versions of the monthly Statement of Earnings.

ACCESS YOUR W-2 ON THE WEB

Like last year, UC employees will be able to access tax year 2006 duplicate W-2 forms online from the UC At Your Service On-line (AYSO) employee self-service web site (http://atyourservice.ucop.edu/). Tax year 2005 duplicate W-2 forms also remain available for download from the AYSO.

Starting next year, for tax year 2007 W-2 forms, UC will be implementing an exciting new feature on the AYSO. You will have the option of receiving an electronic W-2 form instead of a waiting for delivery by mail of a paper tax year 2007 W-2 form. Get it faster, save a tree, and feel more secure about the protection of your personal tax information. Follow these steps to sign up to receive your tax year 2007 W-2 form electronically next year:

Step 1: Log onto http://atyourservice.ucop.edu and click on the "Sign in to My Accounts" icon

Step 2: Click on "Forgot Password"

Step 3: Follow instructions provided to set up your account. You should receive a password via e-mail within a few days from UC Benefits.

B. If you have an AYSO account, perform the following steps :

Step 1: Log onto and click on the "Sign in to My Accounts" icon

Step 2: Enter your log-in and password, and click on the "Sign In" box. You will see the AYSO menu of services.

Step 3: Under the "Income & Taxes" section (located at the top of the column on right), select "W-2"

Step 4: Along the left-hand column, select "Select Delivery Method." A "Consent to Receive Electronic W-2" statement will appear.

Step 5: Review the statement and, if you are in agreement with the terms and wish to continue, check the appropriate boxes, and select "Submit." Or select "Cancel" to not sign up and exit the web page

Step 6: If you decided to sign up, you will receive a confirmation e-mail from UC Customer Service sent to the notification e-mail address selected in step 5.

Making available electronic W-2 forms is part of a University-wide effort to improve customer service by eliminating the wait associated with receiving paper W-2 forms through the mail, reduce the consumption of natural resources that are used to print and distribute W-2 forms, and improve security over personal, confidential data by reducing the number of individuals handling W-2 forms.

If you have problems viewing your W-2 form and would like to be sent a duplicate paper W-2 form, please obtain a Request for Duplicate W-2 Form from the Payroll Office web site, complete it, and send it to the Payroll Office. For security reasons, a duplicate W-2 form cannot be faxed to you, so you will need to provide a mailing address. Please allow two to three days
